POLICIES & PROCEDURES

Procycles have a number of policies and guidelines that determine the way we strive to deliver the best outcomes in your dealings with us. Please be aware of the policies listed here and keep in mind our first priorities and loyalties are with you – our customers.

Privacy Policy - General:
Procycles is committed to protecting your privacy. This policy applies to the websites www.procycles.com.au and www.procycles.net.au as well as to Procycles stores and will allow you to understand how Procycles may collect, communicate, store, disclose and use your information. As you communicate with us Procycles will at times collect and use certain information from you. We do not collect this information unfairly or unlawfully. We use this information for purposes such as fulfilling orders, providing customer service and communicating with you generally in respect of business transactions. We will not use this information to market to you if you do not wish us to do so.
We will protect your personal information by reasonable safeguards against loss, theft, unauthorised access, disclosure, copying, use or modification.
In most cases the only personal information retained by us are the name, address, telephone and email details along with details of items purchased in the form of “an order” within our computer system. This is necessary for facilitating things such as any after sales service or warranty claims.

Disclosure of Information:
Procycles will not share, sell or divulge your private information to third party organisations other than when such organisations are acting on our behalf in fulfilling our agreements with you, for example, we may disclose your personal information with the manufacturers we represent i.e. BMW Motorrad Australia Ltd, KTM Australia and Kawasaki Australia. These Manufacturers may contact you direct regarding your motorcycle sale and/or its warranty and maintenance. It should be understood that Procycles may be obliged to provide information about you to certain agencies under the force of law.

Loyalty Gifts:
In providing our products and/or services, Procycles may disclose your personal information to a third party for the purpose of the third party providing you with a loyalty gift on Procycles’s behalf and informing you of the products and/or services constituting the gift. This is likely to involve the third party contacting you. If you do not wish for your personal information to be used and disclosed for this purpose, please contact Procycles.

Information Collected:
When information is transmitted to us it is done so over a secure server (Secure Sockets Layer or SSL) using the most up to date levels of encryption to protect your details during transmission. Transmission of name and address details to the Australia Post eParcel system, the PayFlow payment provider and between the payment provider and our bank, Commonwealth Bank of Australia (CBA), are also handled securely and encrypted. Procycles websites are fully compliant with Payment Card Industry (PCI) standards.

Use of Cookies:
Cookies are small pieces of text that can be written to your storage media (e.g. hard disk) by your internet browser unless the browser has been configured to reject cookies. Cookies can be programmed to provide various functionalities to the website. Procycles websites do make use of cookies in order to provide a better and more functional browsing experience for visitors to the websites. The cookies that may be written to your system are not intended to provide Procycles with tracking capabilities for purposes such as marketing or spam etc. Your browser must be configured to accept cookies if you are to use our secure server.

Payment Details:
During the checkout process your payment details are processed securely by PayFlow Pro, a subsidiary PayPal. Or you can choose to use your credit card. We accept VISA and Mastercard. The only detail received by Procycles relating to the financial transaction is that the transaction was either accepted or that it was declined. Funds that are successfully processed by PayFlow are then securely deposited into a Procycles account set up with the CBA.

Right of Refusal:
Procycles reserves the right to refuse any order. We do so at our sole discretion or upon advice from our companion companies such as PayPal or CBA. In cases where an order and payment has been received, and where we elect to refuse that order, we will refund the full value of the order by reciprocal means in respect of the original payment method.

Delivery. Shipping and Handling:
Orders received by Procycles will generally be processed, where stock is available, within one (1) day during our normal hours of operation, Monday to Saturday excluding NSW public holidays. Under normal circumstances, within Australia, goods will be despatched and delivered with 2-5 days. Procycles cannot guarantee that stock will always be immediately available and it should be understood that at times some items may have become unavailable. In cases where stock is likely to be back-ordered or has become unavailable we will contact you to advise you of the situation and, where necessary, negotiate a satisfactory course of action with you which may include a partial or full refund for the value of your order. Shipping is achieved through Australia Post and postal charges for your order will be included and made available to you during the order process.

Returns and Refunds:
We are not required to provide a refund or replacement if you change your mind. Returns may be accepted at our discretion for full refund (not including the cost of freight) or negotiated exchange for another item within seven (7) days of the date of purchase and only if the item can be returned to us in its original packaged condition, un-installed and re-sellable. Should you wish to return an item to us you must contact us before doing so. We will not accept items that have been damaged or installed by you under any circumstances. Returns may also be accepted by us under the terms of a warranty issue as outlined below.

Warranty:
Most of the items sold by Procycles are provided with a manufacturer’s warranty period of one calendar year. Procycles, at our discretion, reserve the right to repair, replace or substitute (after negotiation with you) the item or refund the item’s value.

The Procycles website: procycles.com.au is located and managed in Sydney, Australia. All goods are despatched from this location. All contact details are listed in the ABOUT US pages of this website.

Errors and Omissions:
While Procycles staff take great care to ensure that information presented is correct, such as part numbers, description, pricing and product images, Procycles will not accept any liability for errors or omissions. We also reserve the right to change or remove any item with no further obligation. Any images depicted on our websites or in any of our catalogues may not necessarily depict the actual product that you receive.
